Categorize documents

Use this feature to apply custom coding to documents in custom fields based on keyword hits in specific fields.

To categorize documents, complete the following procedure.

  1. In the Main Menu, select Review.

  2. In the pane, click .

  3. Click Download Default Template - CSV to download the CSV template.

  4. In the CSV template, enter each search in a subsequent row.

    • . The field name where you want to search for the keyword. Leaving the search field blank allows the system to search for the search term in the default search fields. You should specify an existing and supported field type.

    • . The keyword you want to search for in the search field. We recommend limiting the number of terms in the CSV template to no more than 50,000. If you need to specify a search syntax, refer to Search syntax guidance for more information. This field cannot be blank.

    • . The field name you want to populate with the destination value. The destination field must be an editable multiple-choice field. If the specified field does not exist, the system creates it. This field cannot be blank.

    • . The value you want to code into the destination field. This field cannot be blank.

    Some limitations apply to search terms and field values. For more information, refer to Known limitations.

  5. Save the CSV file.

    • If your search terms include non‑English or special characters (for example, Japanese or other UTF‑8 characters), you must save the CSV file in UTF‑8 encoding. Using a different encoding may prevent the system from correctly matching keywords and applying categories.

  6. Return to >.

  7. In , type a name to identify the job.

  8. In , select your CSV file by navigating it.

  9. Click .

  10. View the status of the job in the page and the page in Inspect and Review.

  11. If the CSV file does not meet the required criteria, the job fails and the system generates an error report that identifies each failure and provides the corresponding reason by line number.

  12. To download the report, click on the failed job.
